License Management
Each computer you back up requires a license. Learn how licensing works and how to manage your licenses effectively.
Understanding Licenses
DataRunsClouds uses a per-agent licensing model:
- Each backup agent (computer) requires one license
- Licenses are included with your subscription plan
- Additional licenses can be purchased as needed
- Both active and inactive agents use licenses
Licenses by Plan
Each subscription plan includes a different number of licenses:

Viewing License Usage
To see your current license usage:
- Log in to your dashboard
- Navigate to Licenses in the menu
- View your license summary:
- Total licenses available
- Licenses in use
- Licenses remaining
License Status
The Licenses page shows which agents are using licenses. You can see agent names, status, and when they were registered.
Adding Licenses
If you need to protect more computers than your plan includes:
- Go to Licenses in your dashboard
- Click Add Licenses
- Enter the number of additional licenses you need
- Review the cost (prorated for your billing period)
- Click Purchase
Additional licenses are billed at the rate shown in the table above, prorated to your billing cycle.
Freeing Up Licenses
If you're at your license limit, you can free up licenses by removing agents you no longer need:
- Go to your dashboard
- Click on the agent you want to remove
- Navigate to Settings
- Click Remove Agent
- Confirm the removal
Removing Agents
Removing an agent frees the license immediately. Your backup data is retained according to your retention policy, but no new backups will occur from that computer.
License Usage Rules
What Counts as a License
- Each registered agent uses one license
- Active and inactive agents both count
- Agents with errors still use licenses
What Doesn't Count
- Downloading an agent (doesn't use a license until registered)
- Agents you've removed
- Dashboard users (only agents need licenses)
License Limits
When you reach your license limit:
- Existing agents continue to work normally
- You cannot register new agents
- Dashboard shows a notification about license limit
To add more computers, either:
- Purchase additional licenses
- Remove an agent you no longer need
- Upgrade to a plan with more licenses
Upgrading Plans for More Licenses
If you need significantly more licenses, consider upgrading your plan:
- Higher plans include more licenses at better per-license rates
- Business plan is cost-effective for 10+ computers
- Enterprise plan offers unlimited licenses

License Transfer
Licenses are associated with specific agents. To "transfer" a license:
- Remove the agent from the old computer
- The license becomes available immediately
- Install and register the agent on the new computer
- It will use the freed license
Computer Replacement
If you're replacing a computer, you can keep the old agent registered temporarily while setting up the new one, then remove the old agent. This ensures continuity of your backups.
Annual License Savings
Additional licenses are cheaper with annual billing:
- Monthly billing: Standard license rates
- Annual billing: ~17% discount on additional licenses
Enterprise Licensing
For organizations with many computers:
- Enterprise plan includes unlimited licenses
- Volume pricing available for large deployments
- Contact sales for custom arrangements
License FAQ
Do inactive agents use licenses?
Yes. An agent uses a license as long as it's registered, regardless of activity status. Remove agents you no longer need to free up licenses.
Can I use one license for multiple computers?
No. Each computer requires its own license. This ensures dedicated backup resources for each machine.
What happens if I downgrade and have more agents than licenses?
Existing agents continue to work, but you won't be able to register new agents until you're within your license limit. You won't be forced to remove agents.
Are licenses refundable?
Additional licenses purchased mid-cycle are prorated. If you reduce licenses, the reduction takes effect at the next billing cycle.
